Job Description:

As part of our continued expansion, we are seeking an experienced IT Procurement Coordinator to join our organization, majority of work for Purchasing & Procurement of IT goods and services.
Working under the guidance of the Procurement Manager, the Procurement Coordinator will have primary responsibility for coordinating and administrating a wide variety of procurement activities from sourcing, supplier & contract administration.

*The successful individual* will form part of the wider centralized global procurement team spread across North America and Europe and *is able to provide evidence of hands-on experience in IT Procurement including in hardware for networks and cloud*.

Knowledge, Skills, Qualifications & Experience Required:

* *1+ years demonstrable experience in IT Procurement related to 3rd party colocation*
* *1+ years demonstrable experience in IT Procurement for networks and cloud*
* *5+ years demonstrable experience in general or other non-IT Purchasing/Procurement including Purchase Orders, RfQ and the below out of which min. 1+ years in IT Purchasing*
* *Working level knowledge of space & power parameters in data centers as well as different types of connectivity services*
* Ability to take responsibility, ensure accuracy, meet quality and timeliness standards
* Proven experience administering contracts related to the above subcategories
* Good understanding of MSAs, SLAs, Colocation Schedules, and circuit order forms
* Proven report writing experience
* Excellent organizational skills, attention to detail and ability to multi-task
* Understanding and researching technical aspects of what is being quoted or purchased
* Ability to analyze and raise warnings of potential risk
* Competent in using data storage, previous experience with any ERPs, CRM systems, competent active user of min. Windows Word, Excel, Powerpoint and previous experience with some internal & external portals
* Ability to plan and prioritize own work effectively
* Ability to work independently and demonstrate resiliency
* Ability to build productive relationships with team members and stakeholders of the business

The Role
In this role, you will be responsible for:

* Liaising with existing suppliers to obtain up to date pricing for third party services
* Ensuring up to date product costing and pricing is communicated promptly & effectively
* Acting as a trusted advisor to the internal stakeholders by providing them with information on existing costing and contract terms
* Ordering through accurate Purchase Orders and processing the post-order information in line with the process & policies including updating data in the relevant software in an effective and efficient manner
* Building and maintaining databases related to Procurement in a timely and accurate manner, including and not limited to: pricing, contract databases, 3rd party catalogues, documented delivery acknowledgements, documents storage
* Providing activity and purchasing reports regularly and as required
* Supporting management of goods inwards process from Bill of Materials through to final disposal of asset
* Performing supplier reconciliations from a service inventory & contract details point of view
* Supporting internal stakeholders with escalations within 3rd parties' organizations when needed
* Extracting the right information needed for internal contract enquiries such as terms and conditions of 3rd parties in orders and contracts, before sharing them internally with highlighted changes
* Extracting terms and conditions from 3rd party websites (as case) annually and bringing changes to the attention of the line manager
* Actively supporting the company's special projects and fulfilling specific objectives independently or together with team members or stakeholders
* Gaining an understanding of the goods and services ordered in multiple spend categories and promptly raising cases that need more clarifications and explanations to the line manager
* Contributing to new supplier onboarding
* Undertaking contract renewals, cancellations as allocated and according to the levels & process
* Ordering goods and services according to communicated company policy and ensuring purchases meet internal standards to cover for the different time-zones Continent 8 and their suppliers operate in
* Covering for other team members when they have time off; pro-actively coordinating with team members when planning the time off as to allow the team to have enough coverage
* Contributing to Best-in-class level procurement functioning
* Supporting stakeholders in understanding and aligning to processes and to the systems usage
* Learning and sharing knowledge with the other colleagues to contribute to the cross-training within the team
* Ensuring assertive and timely communication both internally and externally. Identifying cases that need escalation and escalating promptly
