Job Description:

We are seeking talented individuals who will thrive in our collaborative, diverse, fast-paced environment. The Meeting Coordinator provides direct support to the AMI Meeting Planners, assisting them from the start of the meeting through the close-out of the meeting. Includes building registration and virtual meeting websites, creating and printing materials requested on-site, coordinating shipping logistics of materials needed on-site, managing expenses, managing exhibitor and sponsorship sales, and general client services (as required per meeting).Key Responsibilities:

  • Responsible for creating event websites, registration pages, invitations, and email communication utilizing Meetings Management software tool (Cvent, Notified, SalesForce, Zoom). Assists users as necessary - Candidate must have experience building and maintaining websites.
  • Use attention to detail, organizational skills, and time management skills to multitask through coordinating several meetings at once. Candidate must be extremely detailed oriented.
  • Monitors meeting requests on a daily basis and provides customer service support on the status/progress of their requests.
  • Responsible for accuracy of reporting information examples include: attendee counts, registration information, attendance of events, attendee management information, etc.
  • Prepares Meetings Data reports
  • Supports meeting planner with attendee's travel logistics. Includes setting up air desk, reviewing flight and ground manifests, and rooming lists.
  • Creates and prints meeting collateral materials within approved client guidelines.
  • Coordinates the shipping logistics of materials needed on-site
  • Support each of the Meeting Planner with any tasks meeting-related, including virtual meeting card processing on a per meeting basis
  • Complete all tasks and projects as directed and ensure timely delivery based on deadlines
  • On-site support and travel when necessaryQualifications for Meeting Coordinator
    • High school diploma or higher
    • Excellent communication skills
    • Must have strong computer/technical skills with basic proficiency in MS Word, Excel, and Outlook
    • Excellent customer skills with a strong sense of professionalism
    • Must be willing to travel
    • Excellent attention to detail is a must
    • Must be self-motivated, organized, and have excellent prioritization skills
    • Must be able to work well in a fast-paced environment
    • Ability to work effectively independently and in a team environment
    • Cvent experience is a plus but not required
    • Notified/Intrado (Studio and VX) is a plus but not required
    • HTML code knowledge is a plus but not required
