Position Summary

The Crew Scheduler & Travel Coordinator plans efficient and cost-effective rotations schedules for the positions assigned to ensure a full vessel complement throughout the AQV fleet. This individual is also responsible for maintaining OneView software, utilizing MXP as applicable and booking travel for crew accordingly.

Essential Duties & Responsibilities

  • Effectively develops and maintains cost-effective scheduling plans for all crew as assigned
  • Prepares shortfall contingency plans ensuring replacements are arranged to avoid extended periods of shortage
  • Prepares companion assignments to ensure linked crew are placed together (where possible) and within policy
  • Anticipates operational scheduling needs and develops solution plans in line with departmental policies
  • Assists in resolution of scheduling issues from vessel management, shoreside management and recruitment team
  • Liaise with operational management on crew scheduling requests
  • Ensures proper and timely communication is maintained at all times with vessel management, shoreside management and recruitment team
  • Consistently delivers on commitments to external and internal customers
  • Ensures handover and supernumerary cabins are processed and/or negotiated in a timely manner and accurately updated in OneView, and where necessary, are blocked in Seaware and MXP (collaboration with Revenue Management)
  • Liaise with vessel leadership in reviewing scheduling requests
  • Reviews data for accuracy regarding travel days, turnover and exception reports, etc.
  • Forecasts recruiting needs and communicates to Recruitment & Hiring Manager to ensure sufficient crew is available for future rotations
  • Communicate to manager any requests that fall outside department policies and procedures.
  • Communicates effectively with the team
  • Become and maintain expert status with Concur travel booking software
  • Research and identify areas of improvement and change within the travel program
  • Provide monthly and quarterly reports for travel expenditures
  • Ensure behavior and performance supports the company's mission, vision, values and operating principles
  • Solicits feedback; takes action to continuously improve success of team
  • Perform other duties as assigned
    Requirements & Qualifications

    • HS Diploma or equivalent required
    • Bachelor's Degree in related field strongly preferred
      Skills & Abilities
      • Previous experience in Travel and Hospitality industry a plus
      • Must be proficient w/ technology, learn systems quickly, have an extreme eye for detail
      • Advanced experience with Microsoft - PowerPoint, Word, Excel, Outlook, Teams
      • Ability to analyze, negotiate, respond and resolve complex, sensitive and confidential issues and communicate clearly (verbally and written) will all levels of employees, management, and guests
      • Excellent written and verbal communication skills
      • Ability to multi-task, i.e. manage multiple priorities with similar deadlines
      • Ability to work with a sense of urgency and efficiency
      • Ability to work in fast-paced, quickly-changing environment
      • Must be detail-oriented and extremely organized
      • Must be willing to accept changes of direction in work and priorities with a positive attitude
      • Must be a proactive thinker and constantly think ahead to better serve our customers, both internal and external
        • At least five years of experience in similar role involved with marine crew scheduling
        • Travel/tourism, hospitality and/or cruise industry experience preferred
        • Knowledge of maritime industry preferred
          • Must be at least 21 years of age
          • Submit to and pass alcohol and drug tests including but not limited to pre-employment, random, reasonable suspicion and post-accident/incident testing
          • Additional requirements may be required depending on the physical needs of the role
