opportunity to join the team of an established real estate
investment and management firm. We are looking for an
Administrative and Accounting Assistant to perform daily
administrative and accounting tasks that will support our
financial, management and executive teams. Responsibilities include
posting transactions, processing payables and receivables, bank
reconciliations, preparing excel spreadsheets, generating reports
and other administrative and accounting tasks as required.Excellent
written, verbal and computer skills are
required.Responsibilities
- Process accounts payable for multiple companies
- Reconcile invoices and identify discrepancies
- Enter financial transactions into accounting software
- Maintain digital and physical financial records
- Process vendor payments.
- Participate in weekly team meetings
- Support other accounting functions as needed
- Perform accounts receivable duties
- Post, process, and deposit received payments.
- Assist in month-end reporting procedures and insure timely
preparation of various monthly reports.
- Reconcile monthly bank statements for multiple companies
- Prepare and maintain Excel spreadsheets
- Prepare PowerPoint presentations
- Assist in preparing leasing documents in MS Word
- Perform filing and general administrative duties including the
composing and typing of correspondence such as email's memo's,
letters, etc.
- Additional duties and projects as assigned Requirements
- Bachelor's degree in Business Administration, Accounting or
related discipline preferred; minimum of high school diploma
required.
- 2+ years of accounting, finance, clerical or administrative
experience in a busy office environment or related experience, or
any similar combination of education and experience
- Proficiency with computers and Microsoft Office Suite, with
strong skills in Excel and Word
- Experience with Propertyware is a plus
- Must have QuickBooks experience.
- Familiarity with basic accounting and bookkeeping procedures
and principles
- Accounts Receivables experience
- Accounts Payable knowledge
- Good math skills and the ability to spot numerical errors
- Demonstrated initiative and sense of urgency in daily duties by
meeting or improving upon deadlines
- Proven record of providing excellent internal and external
customer service
- Excellent oral and written communications skills
- Detail-oriented and comfortable working in a fast-paced
environment and receiving requests from partners and staff
alike
- Ability to handle sensitive, confidential information
- Ability to work independently and as a productive member of a
team
- The qualified candidate will be detail oriented, able to handle
multiple projects simultaneously, extremely professional, and
customer service oriented
- Work experience as an Accounting Assistant or Accounting
Clerk
- Exceptional time management skills
- Commitment to working efficiently and accurately
- Detailed oriented and organized
- Bi-lingual English/Spanish (preferred)Physical Requirements
- Involves work of a general office nature; typically includes
extended periods of sitting and/or operation of a computer for up
to 8 hours a day
- May involve periods of standing, such as operating at a
copier/fax/scanner
- Involves movement between departments, floors, and properties
to facilitate work
- Involves work such as conducting tours throughout the
property/portfolio, usually performed by walking and/or climbing
stairs
- Regularly required to talk, hear, and use hands and fingers to
write and type
- Ability to read and understand information and ideas presented
orally and in writing
- Ability to communicate information and ideas in writing and
orally so others will understand
- Regularly required to utilize vision abilities, allowing
reading of printed material, graphics, computer displays and
